Booking Your Holiday
1. General Conditions
Your contract in respect of your holiday is made with Astro Tourism, registered in India and all bookings are subject to these terms and conditions.
- Â All communications by the Company in relation to your holiday will be sent to the address stated on the booking form.
- Â All bookings must be made through an authorized representative of the Company. At the time of booking the Company booking form must be completed and submitted together with a deposit of 50% of the total cost of the booking.
- Â Receipt of the deposit and booking form by the Company does neither guarantee nor imply confirmation of the booking. No booking shall be confirmed until the Company issues a written notice. The Company reserves the right to refuse a booking without giving any reason and shall in that event return any deposit received.
- Â Your holiday must be paid in full at least 30 days before the departure date. If payment is not received by the due date, the Company reserves the right to cancel the booking and retain the deposit. The person who signs the booking form guarantees payment of the total amount shown on the booking form in accordance with these conditions. It is the responsibility of the signatory to ensure the Company receives payment in full by the due date. No reminders will be sent.
- If you book within 30 days of your departure date payment must be made in full at the time of booking.
2. Astrotourism Cancellation Policy
Cancellation charges will be applicable as follows:
- 10% fee will be retained if cancellation is done 15 days before the program date.
- 40% fee will be retained if cancellation is done 14 to 7 days before the program date.
- 100%freewill beretained ifcancellation isdone7 daysbefore theprogramdate.
3. Code of Conduct & Indemnity

Parents Responsibilities
The parents/the legal guardian/the legal representative of the Participants will assume full financial responsibility for the Participants with regard to the following:
- Damages caused, whether voluntarily or not, to facilities, equipment, material or other objects belonging to or rented by the Company for the Programme.
- Cost of repatriation of the Participants for returning home or to a specified place due to reasons of health, accident, bad behaviour or any other reasons as the Company may deem fit.
- Pocket money and all other personal purchases made by the Participants except for articles clearly stated to be provided by the Company under the Programme.
- All equipment rented or purchased which are provided to the Participant for the purposes of the Programme and which are returned by the Participants to the Company in a bad condition or which are lost or are missing.
Behaviour of participants
While under the responsibility of the Company the school shall conform to the rules and regulations of the Company. The Company reserves the right to send the Participants back to his/her home if during the Programme the Participants exhibits behaviour which is incompatible with the well-being of the Programme and the rules and regulations of the Company in general.
Weather Dependency
The Company cannot be held responsible for weather conditions which may interfere with the astronomy and photography programmes.
If the Company judges that the conditions for any particular activities are unsuitable due to the weather, the Programme may be delayed or cancelled, substitute activities may be provided to the Participants. In case if the Company is compensated by refund from local administrators, the full amount of any such refund shall be divided among the Participants involved on a pro-rata basis.
Medical treatment
The Company will take any and all necessary actions for the well-being and health of the Participants. This Agreement authorizes the Company to take action to assure medical treatment of the Participants in the event of accident or injury, at the discretion of the Company. All costs of medical treatment shall be borne by the parent, or legal guardian or the legal representative of the Participants. The travel Insurance is bought for each Participant.
The parents/legal guardian/legal representative shall be responsible for liaising or follow up with the Insurance Company with respect to claims, bill settlement or any other interaction as required.
Important
The parent or legal guardian or the legal representative of the participant undertakes that he/she/they have understood the terms and conditions of this Agreement on behalf of the participants.
The parent or legal guardian or legal representative further undertake and confirm that the participant will participate in activities with inherent risks during the course of the Programme. In his/her/their role as the parent, or legal guardian or the legal representative of the Participant, he/ she/they hereby accept all such risks. The parent, or legal guardian or the legal representative of the Participant also confirms that these activities shall take place under the responsibility of the Company’s representatives and also under the responsibility of the company’s or third persons carefully chosen and contracted by the Company.
The parent, or legal guardian or the legal representative of the Participant declare that he/she/they have given the consent for the participation of the Participant in the Programme and have fully understood the risks and security measures specific to it, the qualifications of the monitors, guides or other persons in charge of taking care of, helping, or advising the Participant.
The parent, or legal guardian or the legal representative of the Participant accept that these choices are discerning and that the measures mentioned herein above are suitable and sufficient and hereby authorize the Participant to participate in the Programme.
Fitness & Discipline
The ward should be physically fit to undertake the trip and will abide by the rules and regulations during the conduct of the tour.
Force majeure
If the running of the Programme is affected due to war or risks of war, terrorist activities, political instability, riots, civil wars, change in law, industrial conflicts, natural disasters, closing of airports, technical problems or airplane accidents or other transportation accidents, fire, bad weather or any other events, or acts of God beyond the control of the Company then the Company shall not be responsible for such failure in running of the Programme.
The Company assumes responsibility for the Programme and shall endeavour to carry out the same in the best possible manner. However, the Company shall not be held responsible for certain events that are not in control of the Company, for instance, non-happening of the Programme due to constraints attributable to certain hotels, airlines or other public transport companies, or other parties such as those responsible for providing specialized equipment, instructors, etc. The Company shall not be responsible for any extra costs, complications, losses, injuries, damage, accidents, delay or inconvenience caused due to an error which cannot be directly attributable to the Company or which cannot be attributable to prove gross negligence of the Company with respect to the benefits offered to the Participant under the Programme.
The Company shall have no third-party liabilities towards the participants and shall not be liable for any acts or omissions of any independent agent or contractor or independent collaborator or the like of the Company.
4. Waiver
The Company will undertake to ensure the safety of the client throughout the tour, however aspects of each particular tour may not be without an element of danger. Clients should be prepared to sign a ‘Waiver of Responsibility’ form before they begin their tour. This form is an understanding that all clients need to exercise judgement and care at all times to ensure their own safety and that of their fellow tourists.
